When a spreadsheet may be enough
If you manage a few straightforward tenancies, rarely change charges and keep the sheet updated, a spreadsheet can be inexpensive and flexible. You control the columns and calculations. Good organisation still matters: separate bill totals, received amounts and pending balances.
Where manual work starts to grow
With PG beds, multiple rooms per tenant or several receipts for one bill, one row per tenant can become confusing. You may need separate sheets for stays, monthly bills and individual payments, plus a consistent way to link them.
What MyRentMitra changes
The app provides linked room assignments, bill charge fields, payment history and shareable bill or receipt images. You still enter correct amounts and verify payments. Software does not make an incorrect meter reading or an unverified UPI transfer correct.
Compare costs and features
Look at the current subscription price, plan limits and export availability alongside the time you spend updating sheets and explaining balances. Avoid paying for capacity you do not need; also avoid choosing a plan by room count alone for a densely occupied PG.
Try one complete example before moving everything
Add one tenant and create their monthly rent bill. After receiving rent, record the amount paid and check the receipt and pending balance. Compare these with your existing records before adding the rest of your tenants.
Common questions
Is Excel always a bad choice?
No. A well-maintained spreadsheet can be suitable for a simple operation. The best choice depends on the work you need to do.
Does MyRentMitra automatically import my existing Excel file?
These guides do not promise automatic spreadsheet import. Check the available setup options or contact support before planning a migration.
