Unrecorded payments, missed partial-payment balances and scattered tenant records can make outstanding rent difficult to track. Review each tenant’s bills and recorded payments regularly to identify balances that need follow-up.

A missing entry is different from unpaid rent

A payment may have reached your account without being recorded against the tenant’s bill. Check bank statements or cash records before treating an amount as unpaid. Delayed payment, an incorrect entry and an uncollected charge require different follow-up actions.

1. Match received payments with bills

Record the tenant, billing month, amount received, date and payment method. Check payment references against your bank records where applicable. A screenshot alone should not replace checking receipt of the money.

2. Review partial payments

For example, if a bill is ₹8,000 and the recorded payment is ₹5,000, the remaining amount is ₹3,000. Check for any later payment or agreed adjustment before following up.

3. Check bill charges

Review rent, electricity and other agreed charges before sharing a bill. Keep the calculation and the supporting records so you can explain an amount if the tenant asks.

4. Keep room allocations current

Update records when a tenant moves in, changes rooms or leaves. Review vacant and occupied rooms separately from payment status: an occupied room does not mean the bill has been paid.

5. Follow up from the current balance

Check pending rent, prepare a polite message and confirm the recipient before sending. MyRentMitra prepares WhatsApp reminders that you review and send; it does not automatically deliver them to tenants.

6. Record property expenses separately

Keep repair, cleaning and other property expense records alongside supporting receipts. An expense paid by the owner is different from a charge included in a tenant’s bill.

A monthly record review

  • Check that bills cover the correct tenant and month.
  • Match recorded payments to money received.
  • Review partial payments and remaining balances.
  • Check move-ins, move-outs and room changes.
  • Record property expenses and keep supporting receipts.
  • Follow up only on balances that remain unpaid.

How MyRentMitra helps

MyRentMitra brings room and tenant records, monthly bills, recorded payments, pending rent and property expenses into one place. The information depends on the entries you maintain; the app does not automatically verify bank receipts or collect rent.

Frequently asked questions

Does a missing payment entry mean rent is lost?

No. First check whether the money was received but not recorded, allocated to a different bill, or remains unpaid.

How should I handle a partial payment?

Record the amount received against the correct bill and review the remaining balance before sending a reminder.

Will an app prevent every missed payment?

No. It helps organise the records you enter. Regular checks and tenant follow-up are still needed.

Can I share a receipt after recording payment?

You can review the recorded payment details and share the payment receipt. See the receipt sharing guide.
